Late Patients and No Show Policy

We’re glad you’ve chosen Virginia Beach Obstetrics & Gynecology. We look forward to providing your care and building a collaborative relationship with you. We strive to keep our schedules running on time to avoid long wait times for patients.

We know that unexpected circumstances pop up in everyone’s life. Sometimes they make us unavoidably late to appointments or unable to get to them at all. We will always do our best to be flexible and deliver the care you need in our offices. If you’re going to be late or won’t make your appointment at all at the last minute, give us a call and let us know.

Please be aware of our late and no-show policies designed to ensure all our patients – yourself included – get quality time with their providers as scheduled.

Late patient policy

We ask that all patients arrive 15 minutes before their scheduled appointment time in order to complete paperwork and to ensure that your portal health history is complete. Completion of the portal health history can take up to 15 minutes, and failure to complete it ahead of time may result in your being late for your scheduled appointment time. A patient is considered late when they arrive with 50% or less of their scheduled appointment time remaining. When this happens, our team will check the calendars of other patients and providers. We’ll check you in for your visit if we can do so without disrupting the needs of other patients. If your visit will disrupt other patients’ needs, we’ll try to offer you an appointment later in the day with the same provider or with a different provider at that time or later in the day. We can also consult with the original provider to see if they can see you at the end of the day. If none of these options work for our providers, for our staff, and for you, we will reschedule with the original provider at their next available date.

No-show patient policy

Frequent no-shows can cause challenges for provider offices when the scarce time for patients goes unused. We’ll remind you of your upcoming appointment by text or phone several days in advance and allow you to let us know if you need to cancel or reschedule. If you are a no-show, we’ll alert you to ensure awareness. Your no-show will result in a $30 no-show fee. If you have more than two no shows, we require that you pay a $100 reservation fee to schedule another appointment. If you show up for your next appointment, the reservation fee will be applied to services rendered or credited back to the original form of payment. If you fail to show, the reservation fee is forfeited. These fees are not covered by insurance and must be paid out of pocket.

If you know you must miss an appointment, please contact us 24 hours in advance so that someone else may benefit from the appointment slot, or you will be charged a $30 no-show fee. If something happens closer to your appointment time, call to let us know. If inclement weather, hospitalization, or another understandable reason prevents you from arriving, we won’t consider your first missed visit a no-show.

We will be as flexible as possible to accommodate the scheduling needs of patients, but our team may reach out to patients personally if late arrival or no-shows are recurrent concerns. A patient who repeatedly no-shows or is chronically late for appointments may be terminated from the care our practice –though that’s not ever something we want.  We appreciate your understanding and acknowledgment of these policies that are designed to ensure that all patients get quality time with our providers.
